We are seeking an Administrative Assistant to join our team! You will perform clerical and administrative functions in order to drive our success. You will learn all the skills needed to someday become a property manager. Weekly schedule and need is for someone who can be present for at least 30 hours per week.

This position requires a roll up your sleeves, get in there attitude, someone who works well as a team player, going the extra mile to help the Site Manager and the team, enter and manage data, monitor work order requests and other resident information on software, and serve as a gatekeeper to sort out minor resident issues. Location is a senior high rise apartment building in TRENTON, NJ known as Architect's Housing.

Areas of Responsibility:

  • Draft correspondences and other formal documents
  • Plan and schedule appointments and events
  • Greet and assist onsite guests
  • Answer inbound telephone calls
  • Develop and implement organized filing systems
  • Perform all other office tasks
  • Collect and organize resident payments
  • Support Security Desk when needed
  • Maintain Pet Information and help to collect Deposits
  • Gather documents, send out third party verifications and follow up with residents for signatures during recertification process
  • Process to ensure all necessary documents are received to process recertification
  • Mail out applications
  • Maintain an accurate waiting list
  • Put together move-in packets
  • Maintain Certificates of Insurance for required vendors
  • Organize and regular maintenance of office, office equipment and files
  • Prepare office supply order list for Manager approval
  • Deliver or assist with delivery of resident notices
  • Draft correspondences and other formal documents

Qualifications:

  • Excellent gatekeeper
  • Positive and friendly but not overly talkative
  • Previous experience in office administration or other related fields
  • Ability to prioritize and multitask
  • Excellent written and verbal communication skills
  • Strong attention to detail

  • Able to maintain confidentiality
  • Computer proficiency
