Commercial real estate company seeking a Property Management Administrator for part-time position (20-25 hours per week) with potential for full-time. $16.00-$18.00 per hour PROPERTY MANAGEMENT ADMINISTRATOR Job description Provides general administrative support for the Property Management Team, including the Property Manager, Facilities Manager, Office Manager and Owner. Assists with tenant and vendor customer service. Essential Duties And Responsibilities Answers incoming calls and attends to office visitors. Performs a variety of administrative support tasks including but not limited to phone support, preparation and distribution of correspondence, contact lists, expense reporting, calendar and scheduling, filing, copying and scanning, etc. Maintains tenant, vendor and property files, including insurance certificates, correspondence, and accounts payable files in accordance with prescribed standards. Tracks and maintains Certificates of Insurance. Responsible for written notification totenants and vendors of expired or expiring COI's and COI requirements. Handles any tenant issues regarding maintenance or service requests quickly, passing along any urgent matters to the Facility or Property Manager when necessary. Works with building maintenance staff to create and update work orders for maintenance and inspection items. Coordinates and monitors or assists with status of work assigned to vendors. Coordinates or assists with tenant events and appreciation. Assists with budget preparation by researching costs for supplies and services and obtaining bids as directed. Assists Property Manager and Office Manager in collecting and scanning invoices for processing of accounts payable. Assists Property Manager and Office Manager in invoice preparation for tenant billable items for accounts receivable processing. Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and Experience High school diploma Minimum two (2) years of college preferred Communication Skills Ability to comprehend and interpret instructions, ask clarifying questions to ensure understanding and take the initiative on problem-solving. Ability to write routine reports and correspondence. Ability to quickly respond to common inquiries or requests from tenants, vendors, co- workers, and/or supervisor. Ability to maintain a professional demeanor in all circumstances. Financial Knowledge Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages. Reasoning Ability Ability to understand and carry out general instructions. Ability to solve problems. Requires basic analytical skills. Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Other Skills and Requirements Outgoing, bright, energetic individual with proven customer service skills.
